Refund & Cancellation Policy

Villa Hills Civic Club (“VHCC,” “we,” “us,” or “our”) offers memberships, events, classes, facility rentals, and other activities that may require payment. Refund and cancellation policies vary depending on the type of purchase.
Membership Dues
VHCC membership dues are non-refundable once paid.
Membership dues support the ongoing operation, maintenance, programs, and activities of the Club. No full or partial refunds will be provided for unused membership periods or benefits.
Classes, Events & Registrations
Unless otherwise stated during registration, tickets and registration fees for VHCC classes, events, and activities may be canceled for a refund prior to the applicable cancellation deadline communicated for that event.
Certain events, classes, or activities may have their own cancellation or refund requirements. Any event-specific policy provided at the time of registration will take precedence over this general policy.
If VHCC cancels a paid class or event and does not reschedule it, registered participants will be eligible for a refund of the applicable registration fee.
Facility Rentals
Facility rental deposits, payments, cancellations, and refunds are governed by the VHCC Facility Rental Agreement and Rental Policies in effect at the time of booking.
Submitting a rental inquiry through the VHCC website does not constitute a reservation and does not create an obligation to make payment.
Once a rental is confirmed, the cancellation and refund provisions contained in the applicable rental agreement will apply.
Weather, Emergencies & Other Circumstances
VHCC reserves the right to modify, postpone, reschedule, relocate, or cancel an event, class, activity, or reservation when circumstances reasonably require it, including weather, safety concerns, emergencies, circumstances beyond VHCC’s control, or other operational needs.
Refunds, credits, rescheduling options, or other accommodations in these circumstances will be determined based on the specific event or situation and any applicable event or rental terms.
Refund Processing
Approved refunds will generally be issued to the original method of payment when possible.
Processing times may vary depending on the payment method and financial institution.
